1. Who We Are

NXDPRO ONE ("we", "us") operates a Discord bot and web dashboard available at https://nxdpro.net. This policy explains how we handle your data.

2. Data We Collect

We process and store only the operational data needed to provide our features:

• Server configuration — moderation settings, plugin configs, automation rules, role mappings, and templates you create.
• Usage metrics — aggregate counters (command usage, moderation events, engagement stats) for analytics. These are not personally identifiable.
• Audit logs — admin actions (who changed what and when) to support accountability.
• AI workflow data — copilot requests, approval decisions, and bounded memory entries.
• Discord identifiers — user IDs, role IDs, channel IDs, and server IDs required for bot functionality.

3. Data We Do NOT Collect

• We do not sell or share your data with third parties
• We do not profile users for advertising
• We do not store full message histories
• We do not store email addresses, passwords, or payment information
• We do not use third-party tracking or advertising cookies
• We do not request unnecessary Discord permissions

4. How We Use Data

Data is used exclusively to operate bot features (moderation, leveling, automations, onboarding, giveaways, etc.), provide analytics, enforce safety policies, and support AI-assisted features with approval controls.

5. Cookies & Authentication

• Session cookie (one_dashboard_auth_v1) — a signed, HTTP-only cookie stored when you log in via Discord OAuth. Contains your Discord user ID, username, avatar, and manageable servers. Expires after 12 hours.
• Display cookie (nxdpro_one_user) — a non-sensitive cookie used to show your name/avatar on the website. Contains only your display name and avatar URL. Expires after 12 hours. Cleared on logout.
• Discord OAuth — we request identify and guilds scopes. We do not store your Discord access token.

We do not use analytics, tracking, or advertising cookies.

6. Third-Party Services

• Discord API — bot functionality and dashboard authentication (Discord Privacy Policy)
• OpenAI API — AI-powered features through our gateway (OpenAI Privacy Policy)
• Twitch API — live stream detection for streamer notifications (Twitch Privacy Policy). Only public stream data is queried.
• YouTube Data API — live broadcast detection (Google Privacy Policy). Only public data is queried.
• Google Fonts — font loading (Google Privacy Policy)

7. Data Retention

• AI memory — retained for a bounded window (default 14 days, configurable 1–30 days)
• Configuration data — retained until changed or deleted by administrators
• Analytics — retained for operational reliability and incident review
• Temporary actions — automatically cleaned up when they expire

You can request data cleanup by contacting us or by removing the bot from your server.

8. Your Rights

You may remove our bot at any time. For data removal or privacy-related requests, contact us at privacy@nxdpro.net.

9. Children's Privacy

Our services follow Discord's Terms of Service, which require users to be at least 13 years old. We do not knowingly collect data from children under 13.

10. Changes

We may update this policy at any time. Changes will be posted here with an updated date.
